I have found, after many years of attending presentations, that web based project management tools are overkill for those who use them. Most companies I work with just want us to meet a deadline or to tackle a new project. It has become fairly routine for me to present the concept of project planning to the project managers of companies I work with.
The problem with many of these programs is that they don’t do what they promise. Today the big companies out there, have web-based project management tools developed around their existing CRM products, like salesforce.com or SAP. They make project management even more complex in two ways. When their systems are sick, is can be worse. Because they are so expensive to develop and run, they keep people from having access to the data necessary. Companies need to decide their needs and adapt from there. It’s almost like having a back up to CRM.
Instead of targeting people who work on new projects, I would like to talk about technology that allows managers to assess the big picture. Without input and control from managers, this technology is nearly worthless.
Knowledge workers can easily mess up the ability to measure and determine the direction of a project. However, assessing an overall business plan with real-time, flexible, use of assets, etc., does come with a cost. Even if the project is considered a success, it may take a long time even to measure the success in profitability. The web based project management tools need to be flexible enough to dangle the business strategy on the Internet, and use the project track as a means of determining the actual achievement of company goals. This, in my opinion, is the next big trend of project management tools.
Both the CRM and web based project management tools need to include features to allow formal user reviews to be conducted. This way there is a way for managers to measure any escalations in the project plan. These all seem to be components of a good project management tool. But when the time comes to launch the program, it will be wise to work with a company that will not only develop the application, but put a team together that can provide guidance as needed to ensure a successful launch.
In summary, I believe there are three indicators of a good project management tool. First, it MUST provide the amount of real-time information required for the organization. Second, it MUST be flexible enough to allow for user provided content. And third, the implementation team should be in place before the successful launch for even more predictability.
If these three requirements are met, and more important, if the leads have been taken, and the company adopts the system, the business launch process should be shorter, more effective and on-time.
